Department Assistant - Human Resources Casual

JOB SUMMARY: Supports processes by performing routine clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, and providing information to callers.

ESSENTIAL FUNCTIONS:

  • Consistently uses an outward mindset and puts forth exemplary effort in accomplishing his/her goals and objectives in a manner that helps others to achieve their goals and objectives.
  • Answers telephones and gives information to callers, takes messages, or transfers calls appropriately.
  • Composes, types, and distributes meeting notes, routine correspondence, and reports.
  • Greets visitors and handles their inquiries and directs them to the appropriate personnel.
  • Maintains scheduling and event calendars.
  • Sets up and maintains paper and electronic filing systems.
  • Maintains Personnel records in accordance to DNV requirements.
  • Maintains office environment for cleanliness and organization.
  • Observe and maintain the highest confidentiality standards and practice.

MINIMUM QUALIFICATIONS: High school diploma or equivalent.  

KNOWLEDGE, SKILLS & ABILITIES: Proficient interpersonal relations and communicative skills;  manual dexterity; auditory and visual skills; ability to follow written and oral instructions and procedures; performs miscellaneous clerical functions and projects as assigned; strong Microsoft office skills; teamwork; proficient research skills; organization; dependability; independence; confidentiality; basic understanding of personnel functions; well organized; accurate and attentive to detail; ability to support and assist others; additional related training preferred.

WORKING CONDITIONS/PHYSICAL REQUIREMENTS: Work is generally sedentary in nature, must be able to work for prolonged periods of time, sitting at a computer, but may require standing and walking for up to 10% of the time. Work is generally performed within an office environment, with standard office equipment available.
