Executive Assistant - Human Resources Full Time

Job Summary: Assists in the day to day operations of the Human Resources and Organizational Development Administration area, providing support for Executive Director of Human Resources and Human Resource staff.  Values and maintains departmental process improvement. 

Essential Functions:

  • Consistently uses an outward mindset and puts forth exemplary effort in accomplishing his/her goals and objectives in a manner that helps others to achieve their goals and objectives.
  • Supports administrative functions which include, but not limited to telephone and email coverage, scheduling meetings and handling logistics of those meetings, calendars, travel arrangements, meeting attendance and recording minutes, and ordering office supplies; with attention to discretion and confidentiality.
  • Provides administrative support to Executive Director of Human Resources.
  • Performs/coordinates special projects for Executive Director and Managers.
  • Serves as a liaison for various Oaklawn departments as well as outside agencies.
  • Arranges for Human Resource staff travel and conferences.
  • Coordinates and provides support for meetings, luncheons, lectures, conferences, etc.
  • Supports and engages in LEAN initiatives, LEAN processes and visual management.
  • Serves on committees and develops agendas in collaboration with Executive Director of Human Resources.
  • Organizational Charts.
  • Contract staffing.

Minimum Qualifications: 18 Years of Age.

Knowledge, Skills & Abilities:   PHR or SPHR preferred. Ability and willingness to obtain HR certification (PHR, SPHR, SHRM-CSP, SHRM-SCP) within one year of employment.  Possesses expert knowledge of office routine and office information systems and software programs as well as an understanding of the organization, programs and procedures related to the work of the Human Resources.  Requires discretion and judgment to organize priorities, complete tasks and handle confidential employee, physician and administrative information.  A high level of professionalism and confidentiality, ethics, and integrity. Excellent communication and interpersonal skills required. Must be organized, analytical and can multitask and function independently. Must be proficient in Word and Excel, and able to learn additional software as required by the position. Must have the ability to work effectively and efficiently with a wide range of the public – Senior Leadership, Board members, Employees, physicians, patients, vendors, and the general populace. 

Working Conditions:  Work is generally performed within an office environment, with standard office equipment available.  May be exposed to infectious diseases and/or hazardous materials. 

Physical Requirements:  Constantly sit, see/visual acuity, handle/grasp/feel, talk/hear.  Frequently reach.  Occasionally lift/carry 1 to 25 lbs.
