Department Assistant, Quality Improvement

Job Summary: Assists Quality, Infection Prevention, Safety and Risk department with tasks, data process and day to day operations.

Essential Functions:

  • Consistently uses an outward mindset and puts forth exemplary effort in accomplishing his/her goals and objectives in a manner that helps others to achieve their goals and objectives.
  • Answers phones and manages files.
  • Facilitate office supply orders.
  • Documents patient/visitor concerns to include patient demographic data, synopsis of incident, actions taken to resolve, and outcomes; inputs into Oaklawn’s complain/grievance database.
  • Assists with communication responses to patients, visitors, or Oaklawn staff ensuring grammatical accuracy and according to the terms of Oaklawn’s grievance policy.
  • Assists with accurate and timely data collection/abstraction for measures, as needed.
  • Attends and records minutes for department and committee meetings related to patient safety and quality improvement efforts.
  • Helps reviews patient safety occurrences for trends and opportunities for improvement.
  • Assures the adherence of all standards and policies as set forth by Oaklawn and the accrediting bodies for the purposes of licensure, regulation and accreditation.
  • Additional duties as assigned by the Quality Director.

Minimum Qualifications: 18 years of age. Three (3) years of relevant healthcare experience as determined by the Director of Quality, Risk and Safety.  

Knowledge, Skills & Abilities: Degree in a health discipline, preferred. Proficiency and experience with Microsoft Office products, especially Excel, Word, and PowerPoint; Detail-oriented with strong organizational and analytic problem-solving skills; Ability to perform in a self-directed manner within a team-focused framework; Exceptional verbal and written communication skills; Willingness to learn, especially with regard to navigation of existing electronic medical record systems within Oaklawn enterprise; High-level of professionalism, poise, teamwork, and strong interpersonal and influential skills. Preferred skills include experience in a quality improvement department setting; Background in customer service; Basic understanding of statistics; Change management experience; Experience interacting with regulatory surveyors.

Working Conditions:  Work is generally performed within an office environment with standard office equipment and may occasionally involve activities within the hospital and/or at offsite locations.

Physical Requirements: Constantly see/visual acuity. Frequently sit, talk/hear, handle/grasp/feel. Occasionally lift/carry 1 to 50+ lbs.
