Manager of Clinic Operations

Job Summary: Assists the Executive Director in relationship to the operational functions of Oaklawn Medical Group (OMG) Primary Care and Specialty offices.  Assists with coordination and oversight of projects, assists with data reporting, support, and system optimization.

Essential Functions:

  • Consistently uses an outward mindset and puts forth exemplary effort in accomplishing his/her goals and objectives in a manner that helps others to achieve their goals and objectives.
  • Works as a site manager or supervisor when vacancies occur.
  • Reviews OMG timekeeping on a bi-weekly basis for coding accuracy of management sites.
  • Prepares staffing requests for all practice’s coverage.
  • Updates Standard Work, step by steps and policies / procedures for Department Assistants and Medical Assistants. 
  • Assists Executive Director with updating OMG protocols.
  • Monitors monthly manager reports for completion and accuracy.
  • Assists with Survey Action Plans and follows up as necessary.
  • Assists OMG Admin with various analytics requests.
  • Works closely with Plant Operations, Safety and Emergency Preparedness, and site managers for timely completion of drills by all provider offices.
  • Monitors OMG Quantros compliance and develops training as appropriate for performance improvement.
  • Assists in qualifying for and maintaining necessary qualifications to receive ongoing payment incentives (PCMH, PGIP, Meaningful Use, etc.).
  • In conjunction with Executive Director and Financial Director promotes ongoing financial analysis of operational results against budget and develops corrective action as needed.
  • Assists in coordinating and participating in external and internal audits as required.
  • Hires, trains, develops, and appraises performance of divisional direct reports. Indirectly supervises OMG personnel, guiding office Site Managers with corrective action as necessary on a timely basis and in accordance with policy. Consults with Human Resources when appropriate.
  • Successful implementation of business management principles, organizational structure, workflow, and operating procedures.  
  • Ability to communicate effectively orally and in writing with administration, staff, volunteers, clients, and external individuals and entities.
  • Provides advice and assistance to the Executive Director in the planning, implementation, and evaluation of modifications to existing operations, systems, and organizational procedures.   

Minimum Qualifications: Bachelor’s Degree in Healthcare Administration, or Business-related field, or the equivalent combination of education and clinic management experience as determined by Oaklawn Administration. Three (3) years’ experience in a similar role in a multi-specialty medical group. 

Knowledge, Skills & Abilities:  Successful management experience in multiple provider practices is preferred. Excellent customer service, organizational skills, and ability to work independently. Experience with Word and Excel. Experience with physician incentive programs (CPC , PCMH, PGIP, etc.) and LEAN or Six Sigma preferred. A strong understanding of medical terminology is preferred. 

Working Conditions: The noise level in the work environment is usually moderately quiet. The work environment is primarily indoors.  May experience traumatic situations including psychiatric, dismembered, and deceased patients.

Physical Requirements:  Constantly see/visual acuity, handle/grasp/feel, talk/hear, taste/smell.  Frequently stand, sit, walk.  Occasionally lift/carry 1 to 25 lbs.
