Manager of Clinic Operations

Job Summary:  Assist the Practice Operations Director in relationship to the operational functions of Oaklawn Medical Group Primary Care and Specialty offices.  Assists with coordination and oversight of projects, assists with data and reporting, support and system optimization.

Essential Functions:

  • Consistently uses an outward mindset and puts forth exemplary effort in accomplishing his/her goals and objectives in a manner that helps others to achieve their goals and objectives.
  • Fills in for managers or supervisors’ vacancies when necessary.
  • Reviews payroll on a bi-weekly basis for coding accuracy of management sites.
  • Prepares staffing requests for all practice’s coverage.
  • Overall responsibility for management of casual staff, including interviewing, working with Human Resources for hiring and onboarding, training, and site placement.
  • Updates Standard Work, step by steps and policies / procedures for Department Assistants and Medical Assistants.
  • Assists site managers with annual budget preparation.
  • Reviews manager and providers PTO/CME and expense reports for accuracy.
  • Participates in LEAN Steering committees as requested, and uses LEAN tools to improve efficiency in offices, and monitors compliance with Standard of Work.
  • Assist Director Practice Operations with updating OMG protocols.
  • Monitors monthly manager reports for completion and accuracy.
  • Assists with Survey Action Plans as follow up.
  • Assists OMG Admin with various analytics requests.
  • Works closely with Plant Operations and site managers for timely completion of drills (fire, emergency preparedness) in a timely manner by all provider offices.
  • Monitors OMG Quantros compliance, and develops training as appropriate for performance improvement.
  • Coaches and trains managers, supervisors, or providers as necessary on workflow and practice measures.
  • CARES (Customer Service Training) as assigned by Operations Director. Track CARES articles due dates and follow up as necessary with site managers.

Minimum Qualifications:    Bachelor’s Degree in Healthcare Administration, or Business-related field and significant documented previous practice management experience in a multi-provider ambulatory clinic setting or the equivalent combination as determined by Hospital Administration. 

Knowledge, Skills & Abilities:   Previous experience with physician incentive programs (CPC+, PCMH, PGIP, etc.), as well as previous demonstrated experience with LEAN or Six Sigma preferred. Excellent customer service, organizational skills and ability to work independently.  Experience with Word and Excel. Medical terminology preferred. 

Working Conditions:  The noise level in the work environment is usually moderately quiet. The work environment is primarily indoors.  May experience traumatic situations including psychiatric, dismembered and deceased patients.

Physical Requirements:  Constantly see/visual acuity, handle/grasp/feel, talk/hear, taste/smell.  Frequently stand, sit, walk.  Occasionally lift/carry 1 to 25 lbs.
