Coordinator

Job Summary:   Works closely with the Plant Operations Director to support all facilities activities. The Coordinator will be the first point of contact for internal and external customers seeking support and informational organization of Oaklawn Hospital. Provide administrative support to the Plant Operations Director and coordinate office functions.

Essential Functions:

  • Consistently uses an outward mindset and puts forth exemplary effort in accomplishing his/her goals and objectives in a manner that helps others to achieve their goals and objectives.
  • Manages work order coordination.
  • Responsible for database management.
  • Responsible for daily office operations.
  • Coordinates budget/accounting systems.
  • Maintains office records.
  • Provides general support services for the divisional staff.
  • Manages all outside contractors in support of the Facilities Department.
  • Manages the security access-control database in conjunction with the Security Contractor.
  • Coordinates all facilities activities, work direction, and support systems.
  • Supervises and trains facility employees and contractors as needed.
  • Independently maintains and update administrative policies and processes.
  • Assists facilities staff in locating parts, supplies, and materials.
  • Prepares and maintains RFPs, bid information, and other contract documents.
  • Prepares internal bill-backs and documents for events supported by the Plant Operations Department.
  • Provides administrative support to the Plant Operations team.
  • Manages the Four River system

Minimum Qualifications: High School Diploma or equivalent.

Knowledge, Skills & Abilities: Two (2) years’ facilities management experience. Experience with PALCO, TMS and ACCESS-IT software preferred. High level of interpersonal and communication skills.  Able to work independently and be capable of solving problems using good judgment and work in a self-directed and collaborative environment.  Must have the ability to organize and manage multiple technically complex projects using independent judgment and personal initiative.  Experience with Microsoft Office and building management, Facility and Maintenance operations and maintenance management software.

Working Conditions:  Must have sufficient mobility, dexterity, and endurance to perform field visits.

Physical Requirements:  sit, see/visual acuity, talk/hear.  Frequently walk, reach, handle/grasp/feel, bend/twist, stoop/kneel/crouch.  Occasionally lift/carry 1 to 25 lbs.
