Department Assistant

Job Summary: Performs routine clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, or providing information to callers.

Essential Functions:

  • Consistently uses an outward mindset and puts forth exemplary effort in accomplishing his/her goals and objectives in a manner that helps others to achieve their goals and objectives.
  • Answers telephones and gives information to callers, takes messages, or transfers calls appropriately.
  • Completes forms in accordance with company procedures.
  • Composes, types, and distributes meeting notes, routine correspondence, and reports.
  • Greets visitors and handles their inquiries and directs them to the appropriate persons.
  • Maintains scheduling and event calendars.
  • Opens, reads, routes, and distributes incoming mail and other materials.
  • Sets up and maintains paper and electronic filing systems
  • Processes and escalates priority work requests or work orders; potentially dispatching technicians urgently.
  • Assists with regulatory documentations and files.
  • Assists with hospital security systems, maintains keys and badges.

Minimum Qualifications: High school diploma or equivalent.  

Knowledge, Skills & Ability: Proficient interpersonal and communicative skills; manual dexterity; auditory and visual skills; ability to follow written and oral instructions and procedures.

Working Conditions:  Work is generally performed within an office environment, with standard office equipment available.

Physical Requirements:   Constantly sit, see/visual acuity, talk/hear.  Frequently handle/grasp/feel.  Occasionally lift/carry 1 to 25 lbs.
