Coordinator, Benefits

Job Summary:   Performs a variety of duties, both independently, with minimal supervision within the procedural and policy framework set by organizational and Human Resource leadership, in administering Hospital employee benefit plans and programs. Provides special project support (e.g. open enrollment). Works to apply the results of Benefit surveys to Hospital benefit plan design and handles a variety of document management, correspondence and records maintenance. 

Essential Functions:

  • Consistently uses an outward mindset and puts forth exemplary effort in accomplishing his/her goals and objectives in a manner that helps others to achieve their goals and objectives.
  • Conducts benefit orientations and explains benefits self-enrollment system.
  • Maintains employee benefits filing systems and ensures benefit changes are entered appropriately for payroll deduction.
  • Assists employees with health, dental, life and other related benefit claims.
  • Identifies communication and operational issues arising during day- to- day administration activities/contacts with customers and proposes solutions to Human Resources and Executive Director as appropriate.
  • Assists in review/revision of policies, and employee benefits programs by working with third party benefit partners and broker as necessary to make recommendations for process improvements to continuously improve efficiency and customer service. Assist with updating legally required documents as needed for any amendments and/or restatements.
  • Provides technical support and guidance to Human Resources and Executive Director, monitoring legislative and regulatory changes affecting benefits to ensure programs maintain current compliance.
  • Administers workers' compensation program and follows up on progress of workers who are on disability or restricted duty.
  • Assembles a variety of information on benefits programs, demographics, utilization and participation for report to senior leadership by Executive Director of Human Resources.
  • Administers COBRA using third party website to send out required Initial Eligibility and Qualifying Event Notices as needed for newly benefit eligible individuals and for those who experience a loss of coverage based on a change in eligibility due to change in employment status or dependent status.
  • Provides guidance and support to Human Resources and Executive Director for special projects, including open enrollment, performing research and other tasks as needed.
  • Coordinates daily administration of Oaklawn’s 403(b) Plan including determining the vested status of participants and assisting with the processing of distributions from the plan by preparing the Distribution Request Form for Plan Administrator signature.
  • Works closely with third party administrator and internal/external resources as needed regarding administration of the 403(b) Plan. Activities include assisting with providing the annual Employee Census File, processing of any employer contributions to the Plan and annual audit as needed to maintain current compliance.
  • Administers Family Medical Leave Act (FMLA).
  • Assists with the preparation of annual W2 and ACA Reporting requirements information as needed.

Minimum Qualifications:  Bachelor's degree or commensurate combination of education and experience as determined by administration.  Knowledge of the principles of Human Resources administration with one year experience in a Human Resources Department.

Preferred Qualifications: Hospital/ Health related organization HR setting; PHR, SPHR or a benefits administration specific certification.

Knowledge, Skills & Abilities:  Excellent organizational, interpersonal, and communication skills and ability to deal effectively with a variety of people and situations.  Proficiency in use of a variety of software and computer programs including word processing, spreadsheets, data bases, queries and e-mail and calendar programs. Ability to communicate effectively both orally and in writing and handle confidential information in an appropriate manner.

Working Conditions:  Work is performed in a professional environment, with standard office equipment available.

Physical Requirements:  Constantly sit, see/visual acuity, handle/grasp/feel, talk/hear.  Frequently stand, walk, and reach.  Occasionally lift/carry 1 to 25 lbs.
