HR/TM Assistant/Receptionist

GENERAL SUMMARY
The Human Resources/Talent Management (HR/TM) Assistant/Receptionist is responsible for providing friendly and professional assistance to Team Members and other visitors, for filing all HR/TM paperwork, and directing all physical and phone traffic into the Human Resources offices. This position will be responsible for helping the HR/TM department with the distribution of information to Pechanga Resort and Casino (PR&C) Team Members and assisting with various projects as needed by the HR/TM Department.

FOUR DIAMOND SERVICE AGREEMENT
All Team Members will display a Four Diamond commitment to Customer Service through the delivery and maintenance of the Quality Standards established by Pechanga Resort and Casino.

KEY RESPONSIBILITIES
• Receptionist duties include, but are not limited to: Greeting and assisting visitors and team members; contacting appropriate personnel upon arrival and/or directing guest to appropriate area; answering multi-line phone system, screening incoming calls as appropriate, providing requested information, taking messages and redirecting inquiries to the appropriate staff members, and scheduling appointments; and assisting employees in the use of HR software (Employee Self Service).
• Responsible for daily and monthly administrative reports/logs to include, but not limited to the following: Creating monthly Team Member Birthday and Anniversary list; Intermittent Log, Fitness Center requests; creating weekly 5x15; GEM tracking, award, and meal logs; Team Member walk-ins, address changes, and transfer logs.
• Assists other departments within HR with various projects, short term, long term, or ongoing as needed. May include pulling documents and files for investigations, participating in events and providing support for other Team Member Programs.
• Responsible for maintaining the integrity and confidentiality of team member files by alphabetizing, scanning, indexing, logging and filing all HR/Talent Management paperwork pertinent to team member files.
• Receives general deliveries and contacts proper personnel of their arrival
• Administrative duties include, but are not limited to: Daily sorting, distribution and pick up of department mail, faxing, scanning, and copying documents as needed; assists with the scheduling of all meetings in the HR/Talent Management Conference Room; and assisting in the maintenance of stock/office supplies.
• Performs other job related duties as assigned.

ACCOUNTABILITY: This position does not have supervisory responsibilities. This position is accountable for protecting the assets of the tribe and for maintaining and providing a positive and professional work environment.

QUALIFICATIONS AND GUIDELINES

EXPERIENCE/TRAINING/EDUCATION: A High school diploma or general education degree (GED); Two year certificate from college or technical school; two or more years of related experience and/or training; or equivalent combination of education and experience is required to successfully perform this job.

COMMUNICATION SKILLS: This position requires the ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. This position also requites the ability to write routine reports and correspondence. Furthermore, this position also requires the ability to speak effectively before groups of customers or employees of the organization.

MATHEMATICAL SKILLS: This position requires the ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. This position also requires the ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY: This position requires the ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. This position also requires the ability to deal with problems involving a few concrete variables in standardized situations.

CERTIFICATES, LICENSES, REGISTRATIONS:
• Must obtain and maintain a Class “A” gaming license.

SKILLS/ABILITIES:
• Ability to provide customer service to all levels of guests and team members.
• General knowledge of the team member benefit process and the ability to explain benefit plans
• Ability to utilize Infinium Systems or other HRIS software systems
• Ability to use R:file/DataMagine
• Ability to work under stressful and high volume situations
• Proficient in Word, Excel, PowerPoint, Outlook
• Must have excellent interpersonal and communication skills
• May require ability to work flexible hours for special events
