Clinic Assistant

At Physicians Neck & Back Center (PNBC) we encourage talent, initiative, teamwork, and efficiency. PNBC has treated over 145,000 patients and is different from most other facilities that treat chronic spinal pain. PNBC concentrates on improving strength and endurance.

We are currently searching for a full time (80 hours/pay period) Clinic Assistant who will work at our Roseville location but will be asked to work at other clinics from time to time. This position is a vital point of contact for a patient entering the Physicians Neck & Back Center. This position has substantial influence in ensuring a professional image of PNBC in person, over the phone, in person, as well as in writing. The clinic assistant will have effective communication with the clinic managers, the clinic assistant lead, physicians, patients, billing specialists and referral sources. This position is expected to work with clinic assistants across the organization to ensure a collaborative, team focused approach to duties. They will collaborate with our healthcare team as we cooperatively care for the needs of all patients seeking and receiving care from the Physicians Neck and Back Center. The clinic assistant will be responsible for the following accountabilities:
• Customer Service
o Care for each person as he/she would like to be cared for by:
 Putting the patient first at every opportunity
 Listening to understand each patient
 Showing concern for each patient
 Acting individually and with others to meet each patient’s needs
• Check-in and Co-pay Administration
o Check in patients in an accurate and professional manner
o Identify and accurately collect co-pays or appropriate fees
o Use computer-based system to verify patient information
o Understand and communicate benefit changes to members, or refer to appropriate resource
o Communicate wait times in a diplomatic manner
o Direct patients to the appropriate care area
o Prepare reconciliation report
o Provide patients with appropriate forms, questionnaires, etc.
• Registration and Verification
o Complete the registration process, including reviewing the registration information for completeness and accuracy and obtain further information, if necessary
o Verify insurance eligibility, if necessary
o Register patients in an accurate, efficient, and timely manner
o Identify appropriate account type, e.g., Workers compensation, Motor Vehicle Accidents, etc.
• Computerized Appointment Scheduling for appointments
o Schedule appointments in an accurate and timely manner
o Maintain knowledge of appointment scheduling practices
o Maintain knowledge of appointment scheduling policies and procedures
• Facilitate timely and accurate flow of communication within the clinic
o Answer telephone and respond appropriately to the caller
o Take and relay messages requiring follow-up to appropriate individuals
o Prepare records and materials for new patient appointments
o Assist with the clerical duties of the clinic, e.g., faxing information, making copies, etc.
• General Accountabilities
o Perform other duties as assigned

Successful candidates will have superior customer service skills, the ability to work with diverse patient populations, strong computer skills, attention to detail, excellent written and oral communication skills, and a demonstrated ability to handle and maintain confidential information in a professional manner.

Minimum Requirements:
High School Diploma or GED
Meets one of the following:
Graduate of a formal training program in medical reception, an equivalent program, or a customer service program
2 years experience as a medical receptionist
2 years experience in a customer service position preferably in a medical setting.
One year experience using data look-up and data entry functions on a mainframe or PC based computer system
One year customer service experience either via telephone or in-person within the last five years
Demonstrated ability to organize work under pressure
Demonstrated ability to function with multiple priorities and interruptions
Excellent oral communication skills
Excellent written communication skills

Preferred Requirements:
Graduate of a Medical Assistant program
Certification as a medical assistant
EPIC software experience is desired
