Coordinator, Administration

Job Summary:  This position provides daily administrative and clerical support to the OMG Administrative office. Interacts frequently with Oaklawn personnel, medical staff, physician office personnel, auxiliary, vendors, area business representatives, patients, guests, and the general public while holding the utmost confidentiality of all records, documents, written project or discussions. 

Essential Functions:

  • Consistently uses an outward mindset and puts forth exemplary effort in accomplishing his/her goals and objectives in a manner that helps others to achieve their goals and objectives.
  • Provides various administrative office functions exhibiting a high level of accuracy in work, especially word processing and proofing skills.
  • Coordinates, performs and completes assignments without undue delay with minimal supervision or need for follow-up while providing consistent quality and quantity of work.
  • Answers department telephone in a manner that is conducive to good public relations. Takes accurate phone messages and informs recipient in a timely manner.
  • Opens and sorts’ incoming mail directed to department and routes accordingly.
  • Maintains department filing system (electronic and manual) ensuring that all documents are filed in a logical organized and timely manner.
  • Organizes and maintains physician files.
  • Schedules meetings and coordinates calendars.
  • Requisitions appropriate operating supplies.
  • Coordinates meeting locations, sets-up for the meeting, and helps prepare and coordinate agenda and supporting documents.
  • Coordinates, manages, and schedules medical students (PAs, medical students, SRNAs, residents, etc). Securing/tracking all necessary paperwork.
  • Prepares monthly reports.

Minimum Qualifications:    18 years of age.

Knowledge, Skills & Abilities:   Associate’s degree or equivalent formal education is preferred; excellent telephone, written communication and interpersonal skills; ability to prioritize multiple tasks while maintaining focus and effectiveness, maintaining a high productivity level to maximize the productivity of the department leader and managers; excellent analytical and problem-solving skills; experience with data extraction from multiple information systems; proficiency in a variety of computer software programs and/or systems is required, experience using email, electronic calendar, word-processing, and spreadsheets; able to work independently.

Working Conditions:  Work is generally performed within an office environment, with standard office equipment available.

Physical Requirements: Constantly sit, see/visual acuity, handle/grasp/feel, talk/hear, taste/smell.  Frequently walk, bend/twist.  Occasionally lift/carry 1 to 25 lbs.
